Monday.com retainer tracking: share a live client balance from your Monday workflow.
Monday.com is the work operating system many agencies use to manage client projects, track deliverables, and log time. It’s excellent for internal coordination — dashboards, automations, workloads. What Monday.com doesn’t have is a client-facing retainer balance page: a URL the client can bookmark and check when they want to know how many hours they have left this month. HourTab provides that specific view. Export your Monday.com time data, paste the CSV into HourTab, and each retainer client gets a public, no-login balance URL.

Why Monday.com alone doesn’t solve the retainer question
-
Monday.com client guests see boards, not retainer balances.
You can add clients as guests to a Monday.com board. They see items, statuses, and updates — but not a retainer balance with hours consumed, hours remaining, and a cycle reset date. The guest view isn’t designed for “how many hours do I have left?” HourTab is. Export your Monday time data and each client gets a URL that answers exactly that question.
-
Monday.com’s time tracking is for project management, not client billing.
Monday.com tracks time at the item level for workload planning and project estimation. It’s not designed to aggregate hours against a monthly client retainer, calculate a running balance, and display it at a client-visible URL. HourTab handles exactly that workflow: set the monthly allocation once, import your CSV weekly, and the balance URL stays current.
-
Clients don’t want to navigate a board.
Even with a limited guest view, Monday.com has a complex interface for someone who just wants to check one number. HourTab’s client URL is a single-purpose page: balance bar, hours numbers, work log. Ten seconds to check; no Monday.com training required for the client.
How it works with Monday.com
-
1
Set up the retainer in HourTab. Enter client name, monthly hours allocated, and cycle reset date. Two minutes.
-
2
Export from Monday.com. In Monday.com, go to the board or dashboard with your time-tracked hours and use the Export to CSV option. Alternatively, export from a connected time tracker (Toggl, Harvest, Clockify). Paste into HourTab.
-
3
Send the client URL. Each retainer gets a unique public link. Add it to your engagement confirmation or monthly invoice. Clients check it when they want. You stop fielding the hours-left question.
Works with Monday.com Pro/Enterprise time export or any connected tracker (Toggl, Harvest, Clockify) on lower plans.
“Monday handles our whole agency workflow. But there’s no way to send a client a link that just shows their hours balance.”
— Agency account manager on 10 client retainers
HourTab is that link — one public URL per retainer, client-bookmarkable, no Monday.com access required.
Frequently asked questions
Which Monday.com plans support time tracking export?
Monday.com includes time tracking on Pro and Enterprise plans. If you’re on a lower-tier plan, use a connected time tracker (Toggl, Harvest) and export from there instead.
Can I track multiple clients across different Monday boards?
Yes. Each client has their own retainer in HourTab with their own URL. You import each client’s hours separately — either from different Monday boards or from filtered exports of a shared board.
Does HourTab replace Monday.com?
No. Monday.com continues to manage your project workflow, tasks, and team coordination. HourTab adds one output: a client-visible retainer balance URL. Two tools, no overlap.
What data from Monday.com do I need to export?
HourTab needs date, description, and hours/duration for each time entry. A Monday.com time tracking export typically includes these. If your Monday board doesn’t have a time column, use a connected time tracker and export from there.
Is a Monday.com API integration planned?
Yes, it’s on the roadmap. For v1, the CSV import workflow takes 60–90 seconds and gives you full control over when the client balance updates.
